  • Handle requests and queries appropriately
  • Manage diary and schedule meetings and appointments
  • Make travel arrangements
  • Take dictation and minutes
  • Source office supplies
  • Produce reports, presentations and briefs
  • Devise and maintain office filing system

Requirements

  • Proven work experience as a personal assistant
  • Knowledge of office management systems and procedures
  • MS Office and English proficiency
  • Outstanding organisational and time management skills
  • Up-to-date with latest office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • High School degree, PA diploma or certification would be considered an advantage

Admin Job Responsibilities

  • Facilitate and ensure all statutory compliances for the division in time to time and maintain a calendar of returns for the monitoring and reporting.
  • Coordination of employee’s welfare activities of the division.
  • Coordinating all the admin related activities of the company which evolves from time to time.
  • Ensure the maintenance of office discipline by all the team members and coordination of disciplinary proceedings as per the orders of management.
  • Coordination with HR for the formulation/implementation of HR policies in the division
  • Be in charge of the public relation activities of the division.
  • Coordination of all types of repairs and maintenance for the division.
  • Indenting, sourcing, storage and proper distribution of office stationery.
  • All non operations procurement activities and coordination with vendors and service providers.
  • Purchase ( Pantry stuffs, other office related stationeries)
  • Issuing ID Cards, tag& other necessary equipments and instruments required for the smooth operation of the office and the premises.
  • Ensuring Bank account opening for the new employees  Vendor, Guest and Client management.

Accounts Job Responsibilities:

  • Updating &Preparation of accounting Vouchers – Cash, Bank & Journals
  • Complete Day to day accounting procedures
  • Maintaining proper system & entries in accounting software
  • Proper Documentation of voucher & other records  Bank reconciliation
  • Branch Reconciliation
  • Prepare & Help management to prepare various reports Weekly, Monthly & yearly
  • Payment to Creditors
  • Coordinate for Monthly SOFTEX filing
  • Coordinate with Audit team for quarterly Auditing.
  • Follow up Debtors – overdue & report
  • Guide & Coordinate assistants
  • Other Jobs given by Management
  • Petty Cash handling
